6:30 Welcome and Call to Order: Cathy Chinault
6:35 Activities Director Report: Dean Spahr
- Golf has had 2 tournaments already this season
- VHSL has transitioned a new website (URL) for schools to use
- LHS new sports’ website is libertyhs.rschoolteams.com (Dean will email this out to all Booster members)
- He will be emailing all schedules like before and cancelations but will be a different format
- There is a free App for iPhone and Android (Dean will email this info out tomorrow and it will be posted on Social Media)
- Coaches are to be pushing this new website to parents
- Picture day is next week on Monday 08/12/19
- Meet the Coaches Night is Tuesday 08/13/19
- The new scoreboard has been installed
- Stadium lights have been updated
- Dean is looking at the possibility of updating/upgrading the PA System indoors at a later date
6:40 Treasurer’s Report: Lisa Hord
- Late to meeting due to traffic – will return to this item later in meeting if there is anything to report
6:45 Officer updates: Cathy, Rose, Jen, Lisa
- Cathy reported. Coaches were asked to have Team Representatives for each team. The rep must be associated with the team they are attending the meeting for.
- Team reps are to be reporting back to the coaches on the monthly meetings
- Team Incentives – There has been another level added to get the team incentive money at the end of the year. This year, all teams must have the required number of volunteers signed up to help work concessions in order to receive their incentives. Suggestions were made for next year to maybe add additional incentives for teams to help work fundraisers. This will be looked at for next year.
6:50 Membership Update: Dawn Jeckell
- 7 members registered as of today
- Deadline to register to be eligible for the Scholarship is September 30, 2019
- Currently, the membership form is on the old website www.libertysports.org This will be getting moved to the new website
- Cathy is getting the website updated with the scholarship eligibility guidelines. She will email that to Amy Lacy tomorrow.
6:55 Concessions Update: Carolyn and Jeff Leach
- Carolyn reported – she and Cathy met with Pepsi. There are new products that will be getting tried this season. Pepsi is giving the 1st case for free for us to try. If they sell well then we can order.
- There will be Chili being offered in the concessions this season
- Credit card payments will be accepted in the concession stands this season – they will use the side window for credit card payments. $5 minimum order
- Combos are being offered with fries now, not just chips
- Pizza is still being offered
- Thursday 08/15/19 will be the 1st night the Concession stand is being open
- At the beginning of the season, Chick-fil-a will still be offered for the time being
- 2 – 20 gallon tanks will be added to the concession stand for hot chocolate
7:05 Volunteer Update: Kim/Crystal
- The schedule is entered on Sign-up genius
- The email list is being cleaned up to remove old members
- The initial email will go out before the Meet Coaches Meeting
- The Sign-up Genius will go out to all the parents on the email list by the end of the week
7:10 Fundraising Update
- The Golf Tournament – the new date has not yet been confirmed. Cathy requested to stay away from Fridays. Looking for a Monday
- Bingo – has not yet been confirmed by Dean
- Car Show – Tentatively May 9th, with a rain date of May 16th
- After-Prom is now part of Boosters. Michelle was not present to report. Cathy reported on her behalf. The goal is to have 3 Large After-Prom fundraisers only this year.
- Boosters is looking at asking businesses one time per year for donations, instead of every time there is a fundraiser
- A question was posed regarding Appreciation for Business Sponsorships for fundraisers
- Suggestion made for a Sponsorship Tab to be added to the new sports webpage
- Suggestion made for Booster Membership to get a brochure – Dawn will be creating a brochure to be added with the Membership card that is handed out
7:15 Public Relations: Jen Robinson/Melissa
- Unable to report on the Quarterly Newsletter. Michelle Clark has volunteered to talk to Lisa Miller RE: getting a student volunteer from journalism to help write the Newsletter
- Jen would like to have a team contact for each athletic team that send information to her directly for it to posted on social media. Pictures, scores, fundraisers, other events, etc
- Cathy reporter on the Hall of Fame – The final pictures are in for the plaques. All will be available for the past years and the current year Hall of Fame photos. Hall of Fame event will be at the last Home Football game for this season
7:20 New Online Store Demo: Rose Bryant
- Rose has worked on getting the new Sports-wear/Spirit-wear website
- The website has not yet been released yet to the public as there are still changes being made and added
- The website is the property of Liberty and not one person
- Rose reviewed how to use the page
- The new website will track the items being ordered, take the payments, etc so one person doesn’t need to do it
- Online orders will go directly to Sew-Fine and will be picked up by Amy Dunford (who will help run the orders). Customers will get a receipt when they order that says when their order will be ready to be picked up
- Rose will be checking on if the various Themed Spirit Week shirts will be able to go on-line and let everyone know
- Team Specific Spirit wear will be able to be completed on the website also
- Can be used from your mobile phone. Also looking at adding pay-pal as an option for payment
7:30 New Business
- Maria Cabanban reported - Field hockey is taking over doing the programs and selling them at the games
o They are working on highlighting seniors in each program. The are looking for business sponsorships. The info will be handed out to everyone on Meet the Coaches Night.
Next meeting date is September 4th, 2019.
